What are the criteria for Threshold-Based Flow Failure Notification Email?

The Threshold-Based Flow Failure Notification Email uses specific criteria to ensure that only high-impact Flow failures generate notifications.

A Flow step appears in the notification email only when all of the following conditions are met for that day:

  • At least 2 failures occur

  • At least 2 unique users experience the failures

  • The failure rate is greater than 50% of the total attempts for that step


How is Flow Failure Rate calculated?

The Flow failure rate is the percentage of times a specific Flow step failed out of the total number of attempts to complete it.

Failure Rate = (Number of Failures/Total Attempts) x 100

For example:

Consider that a step in a Flow had the following data for one day:

The Flow failure rate is calculated as:

A Flow might fail a few times but still not appear in the Flow Failure Notification Email. This happens when it does not meet all the required conditions. This helps ensure the notifications are focused on the most relevant issues.

Why didn’t a Flow that failed multiple times appear in the notification email?

A Flow might have failed several times, but it appears in the notification email only if all three conditions are met:

  • The Flow experienced more than one failure.

  • More than one unique user experienced the Flow failures.

  • The Flow failure rate is greater than 50% of total attempts for that step

If one of these conditions is not met, the Flow does not appear in the email notification.

For example:

Consider a Flow step that failed 4 times out of 20 attempts on a given day, but all 4 failures were from the same user. Let’s break down the conditions for this scenario:

  • The number of failures (4) satisfies the condition of more than one failure.

  • However, all failures are from a single user, which fails the condition requiring more than one unique user.

  • The failure rate is calculated as (4 / 20) × 100 = 20%, which is below the 50% threshold required.

As the failures affected only one user and the failure rate is below 50%, the Flow does not appear in the notification email.

How does Whatfix determine whether multiple users are affected?

Whatfix determines how many unique users experienced Flow failures based on how your application tracks users. In cases where user identification relies on cookies (instead of login-based IDs), tracking might be less accurate. For example:

  • A user who clears cookies or uses a different browser might be counted as a new user.

  • If cookies are not consistent, counts might be less accurate.

For example, the same user visiting from multiple browsers or clearing cookies could be counted more than once or not at all. This could prevent the report from meeting the requirement that more than one user must be affected.

To improve accuracy, consider enabling login-based user identification where possible.

Can I change the notification thresholds or time period?

No, the Flow Failure Report uses fixed logic that cannot be customized. The notification is generated once a day and includes data only from the previous day. Thresholds related to the number of failures, user count, and failure rate are pre-defined and not configurable manually.

What does failure rate of a Flow mean?

The Flow failure rate refers to the percentage of times a specific Flow step failed out of the total number of attempts to complete it.

For a Flow to appear in the report, more than 50% of the attempts on a given day must have resulted in failure.

For example:

  • Four failures out of six total attempts → 66% failure rate → The Flow appears in the report.

  • Four failures out of 100 total attempts → 4% failure rate → The Flow does not appear.

This helps focus on Flows that fail for most users, rather than isolated cases.
