Get Application Utilisation data using Enterprise Insights (EI)

Organizations use multiple applications based on their needs. It is important for them to analyze the utilization of these applications. With the utilization data, they can assess the Return On Investment (ROI) of these applications, which can then facilitate cost optimization during license procurement or renewal.
The Enterprise Insights (EI) dashboard enables you to get the application utilization data. You can upload a CSV file with the license details to your EI dashboard. You can then create a Summary Insight with the Application Utilisation % metric to understand the utilization and take further decisions.
For example, consider that you've purchased 600 licenses for a particular application, but the unique user count is only 200. The utilization is calculated as Unique user count divided by License count, which is approximately 33%. This data shows that the application is not being used. You can either cut down on the licenses for cost optimization or work on increasing the application's adoption.
Applications need to have Whatfix embedded for you to see the Application Utilisation %.
Getting Application Utilisation % involves the following three steps:
- Download the License details CSV template
- Upload the template
- Create a Summary Insight to visualize the utilisation percentage
Download the License details CSV template
On the Enterprise Insights dashboard, click Applications.
Click Licenses.
Click Upload License.
On the Upload License pop-up, click Download CSV template.
The CSV file is downloaded to your local drive.
The following image shows a sample CSV file:
- App Id: The ENT ID of the application. This is a mandatory field.
- Application Name: The name of the application. The maximum character length can be up to 30 characters. This is a mandatory field.
- License Type: The license type of the application. The values can be subscription or perpetual. This is a mandatory field and is not case sensitive. You can choose perpetual for custom or in house applications.
- License Start Date: The start date of the license. It should be in MM-DD-YYYY format. This is a mandatory field.
- License End Date: The end date of the license. It should be in MM-DD-YYYY format. This is a mandatory field for subscription license type.
- Quantity: Number of licenses procured for the application. This is a mandatory field.
- Effective Date: The date from which the license is effective. This is not a mandatory field. If it's left blank, then the License Start Date is considered the Effective Date.
- Enter the corresponding data into the sheet and save it.
Upload the template
On the Enterprise Insights dashboard, click Applications.
Click Licenses.
Click Upload License.
On the Upload License pop-up, drag and drop the CSV file or browse through your local drive to upload the file.
Click Save.
If there's any error in the uploaded data, you get an error message. You can download the sheet, check the reason for the error, correct the error, and then upload the sheet again.
The following is a sample CSV file with error statuses:
The following are some common errors that can occur:
- If any mandatory fields like App Id, Application Name, License Type, and more are not filled
- If you try to upload data for an application that you don't have access to
- If you enter any incorrect data
Create a Summary Insight to visualize the utilisation percentage
On the Enterprise Insights dashboard, click Insights.
Click Create insights.
Click Summary Insights.
Click the Edit icon to enter the title for your Summary Insight.
In the Groups section, select Application using the dropdown.
In the Metrics section, click Add metrics.
Click Custom Metrics and then select Application Utilisation %.
- You cannot use the Application Utilisation % metric to analyze the utilization of applications that are not part of the CSV file.

- Click Apply.
- Scroll down to see the data that is generated.
- To export the Summary Insight, see Export Summary Insight.
- Click Save.
