Organizations need to understand the percentage of unique users utilizing the application compared to the total number of intended users. This utilization data enables assessment of the Return On Investment (ROI) for these applications, facilitating cost optimization during license procurement or renewal.
The Enterprise Insights (EI) dashboard enables you to see the Application Utilisation percentage. For more information, see Get Application Utilisation data using Enterprise Insights (EI).
Application Utilisation % = The number of unique users in the application ÷ The number of licenses procured.
The following image illustrates various scenarios for calculating Application Utilization:
Consider an organization with three applications, A, B, and C, for which it wants to calculate the Application Utilization percentage. The following data appears in the CSV file:
The date uploaded is not part of the CSV file and serves to explain the example.
Application Utilisation for application A
In this example, application A has 100 licenses from January 1 to July 31. With the influx of new employees in the organization, they procured 200 more licenses between April 1 and July 31.
Application Utilisation % calculation:
Number of licenses (January 1 to March 31): 100
Number of licenses (April 1 to July 31): 200
Application Utilisation % (January 1 to July 31) = Average of [(The number of unique users ÷ The total licenses between January 1 and March 31) and (The number of unique users ÷ The total number of licenses between April 1 and July 31)]
Application Utilisation for application B
In the example, application B has 150 licenses from January 1 and is increased by 50 from April 1.
Application Utilisation % calculation:
Number of licenses (January 1): 150
Number of licenses (April 1): 50
Application Utilisation % (January 1 to July 31) = Average of [(The number of unique users ÷ The total licenses between January 1 and March 31) and (The number of unique users ÷ The total number of licenses between April 1 and July 31)]
Application Utilisation for application C
In the example, the data for application C uploaded on September 11 for January 1 to October 31 shows 100. Meanwhile, the data for application C uploaded on September 12 for January 1 to October 31 shows 200.
Application Utilisation % calculation:
Number of licenses (January 1 to October 31): 200
This happens because the License Start Date and the License End Date are the same for both data sets but uploaded on different dates. Whatfix takes the last updated license count as the final number for calculation. In this case, Whatfix takes the license count as 200.
Application Utilisation % (January 1 to October 31) = The number of unique users ÷ The total number of licenses
