What are Quick Capture Flows?

Prev Next

Note:

  • Users part of the Authoring Agent in the DAP AI add-on package have access to enhanced capabilities such as AI-generated title and description and Enhance with AI.

To enable or discuss this feature, please contact your Customer Success Manager (CSM). For all other standard features or Beta capabilities, contact the support team.

  • For users who are not part of the Authoring Agent add-on, standard title and description generation remains available as part of the default functionality.

The Quick Capture Flow is designed to accelerate the process of Flow creation. Create Flows by clicking the elements where you want the Flow steps to appear. It captures your clicks on UI elements and automatically converts them to Flow steps. The Flow also creates a step title and description using its built-in AI functionality. The process minimizes the need to pause and configure each step individually. For more information, see Create Quick Capture Flows.

Based on whether your Flow appears on a single page or multiple pages, Whatfix enables you to use three types of capture modes—Click and navigate, Click without navigation, and Free floating step. For more information, see Quick Capture Modes.

Key Benefits of the Quick Capture Flow

  • Maximum Time Savings: Flow creation happens in a fraction of the time, as Quick Capture automatically converts your UI clicks into configured steps, minimizing the need for manual configuration.

  • Minimal Friction: The Quick Capture Flow drastically reduces context switching and interruption during the Flow creation process.

  • Flexible creation: Transitioning between Quick Capture Flow or the Legacy method of creating Flows is easy, based on your use-cases. For more information, see How do I switch between Legacy and Quick Capture in Flows?

AI Capabilities with Quick Capture

Quick Capture Flows use built-in AI at two stages of the Flow creation process: during initial capture and during content refinement. The following table describes what the AI does at each stage:

Stage

AI Function

What it generates

Initial capture

Reads the context prompt you enter in the What this flow is about? field, then automatically generates a title and description for each captured step based on the prompt and the UI elements clicked.

Step titles and step descriptions for all captured steps.

Content refinement (Enhance with AI)

Rewrites or refines the generated step content across the entire Flow using one of five options: Polish, Formalize, Elaborate, Shorten, or Custom prompt.

Revised step titles and descriptions based on the selected enhancement mode.

Note:

The following accordion describes the current AI functionality in Quick Capture Flows available for your users.

AI functionality of Quick Capture

  • Quick Capture Flows support Flow creation using AI in English language only.

  • Enhance with AI applies changes across all steps of the Flow. You cannot apply an enhancement to individual steps.

  • The Undo option after Enhance with AI reverts all AI-generated changes and returns you to the previous state of the content. It does not support step-level undo.

  • Quick Capture Flows are available for web applications only. Desktop and Mobile Flow creation using Quick Capture is not currently supported.

  • The AI does not access or use any data from your application during step generation. It generates content based on the UI element labels captured during the session.

  • Whatfix does not use your prompt inputs or generated Flow content to train AI models. For more information, see Data Security and Privacy Policies for Whatfix AI features.

Quick Capture Modes

Quick Capture offers three modes for capturing Flow steps. All modes use AI to automatically generate step titles and descriptions.

The following table describes the Quick Capture Modes:

Mode

Description

Use Case

Click and navigate
(Default)

Keeps the capture session active as you navigate between pages or screens. Every click is captured across page transitions.

Here’s a GIF that shows the Click and navigate experience:

Flows that guide users across multiple pages or application screens.

For example, “How to create a Lead in Salesforce?" or “How to create an Opportunity?”

Click without navigation

Captures steps on a single page or screen.

Here’s a GIF that shows the Click without navigation experience:

Flows contained within a single page or application screen.

For example, an overview workflow for new users on an application.

Free floating step

When you select this type of Flow step, it remains flexibly positioned independent of any element attachment.

Capture the entire screen or capture a section of the screen to add a floating step.

Free floating steps is a Beta feature, and is not packaged as a part of Quick Capture. To enable, contact support@whatfix.com.

Here’s a GIF that shows how to capture a Free floating step:

For instance, consider you need to announce important details about a feature before users explore it step-by-step, and no element selection is required.

For more information, see Free-floating steps in Flows.
