Create Quick Capture Flows

Note:

  • Users part of the Authoring Agent in the DAP AI add-on package have access to enhanced capabilities such as AI-generated title and description and Enhance with AI.

    To enable or discuss this feature, please contact your Customer Success Manager (CSM). For all other standard features or Beta capabilities, contact the support team.

  • For users who are not part of the Authoring Agent add-on, standard title and description generation remains available as part of the default functionality.

Use the following steps to create a Quick Capture Flow using Whatfix Studio:

Step 1: Start capturing Flow steps

Step 3: Review and configure each step

Enhance with AI - Sample Prompts

After capturing your Flow steps, you can use Enhance with AI to refine the generated content. The following are sample prompts for each enhancement option.

Adjusts tone to sound more professional.

Elaborate

Expands descriptions with more detail.

Elaborate on the key benefits of each step so that users understand why each action is required.

Shorten

Condenses descriptions into concise summaries.

Shorten the step descriptions to a single, concise sentence, focusing only on the action required.

Custom prompt

Generates content based on your own instruction.

Rewrite the step descriptions in active voice. Avoid using the word "Select" — use "Click" instead.


Step 1:  Start capturing Flow steps

  1. Log in to your application, and then launch the Whatfix Studio.

  1. Under Content click Flow. Click Flows under Content

  2. Based on your requirement, select Click and navigate or Click without navigation mode, and then start capturing.

Whatfix captures every click and converts them to Flow steps. Quick Capture offers two modes:

(Default)

Keeps the capture session active as you navigate between pages or screens. Every click is captured, even across page transitions.

Flows that guide users across multiple pages or application screens.For example, “How to create a Lead in Salesforce?" or “How to create an Opportunity?”

Click without navigation

Captures steps on a single page or screen. The session ends if you navigate away from the current page.

Flows contained within a single page or application screen. For example, an overview workflow for new users on an application.

  1. Select the UI elements on the screen.

  1. On the minimized Studio editor, click Done to stop capturing the steps.

Note:

The minimized Studio editor also gives the flexibility to do the following:

  • Step count: Shows you the number of steps captured.

  • Capture modes: You can choose to switch between Click and navigate or Click without navigation mode.

  • Censor mode: Enables you to hide any sensitive information on the application during the process of capturing the steps. You have the option to Cancel the Censor mode by clicking Cancel. The Censor mode on your Studio editor for Quick Capture Flows is different from the Censor Sensitive Information option that you see under Configurations.   • Start over: Enables you to re-start the process of step capturing. The option does not take you back to the Studio, rather you can re-start capturing the Flow steps on the application page you are on.

  • Pause: Enables you to pause your interaction, for instance to move to another page on the application and then resume step capturing. For more information on how to use Keyboard shortcuts, see Keyboard shortcuts for Whatfix.

  • Discard and exit: Enables you to cancel the step capturing process and return to the Whatfix Studio.

  • You also have the option to drag the minimized Studio editor on your application:


Step 2: Edit the content using the AI functionality

Note:

Enhance with AI is available only to users who are part of the Authoring Agent in the DAP AI add-on package. Users on the standard plan have access to basic AI-generated titles and descriptions only.

Use the following steps to enhance the generated content quality once you complete capturing the Flow steps:

  1. Click Enhance with AI.

Note:

Use Enhance for further content management of Quick Capture Flows on Whatfix dashboard.

Fixes your content's grammar and spelling.

Prompt example: "Proofread the Flow steps for grammatical errors, awkward phrasing, and clarity."

Adjusts your writing style to sound more professional and serious.

Prompt example: "Adjust the tone of the content to be suitable for external users, ensuring it maintains a respectful and authoritative voice."

Expands on your ideas to provide more detail and depth.

Prompt example: "Elaborate on the key benefits of using cloud computing for small businesses in the step description of the Flow."

Condenses long descriptions into clear, concise summaries.

Prompt example: "Shorten the step descriptions to a single, concise paragraph, focusing only on the result achieved and the main takeaways."

Generates content based exactly on the instructions that you add.

Prompt example: "Rewrite the step descriptions to focus on environmental sustainability, using an exciting tone. Also avoid using industry jargon."

  1. Select any of the options that you want to use to edit the content.

How to use Custom prompt in Quick Capture Flows?

  1. Click Custom prompt.

  2. Under How should AI improve this Flow? write how you want the content output to be.

  3. Click Continue.

    Click Continue to save the Custom Prompt

  4. Once you finish creating the Flow, click Save Flow.

Info:

  • You also have the option to transition midway to Legacy Flows, which incudes Free-floating and Attached to element step types. For more information, see How do I switch between Legacy and Quick Capture in Flows?

  • Once you complete content editing on Studio using Enhance with AI, you have the option of going back to your previous edits. Clicking Undo option discards all your changes generated by AI and you move to the previous step of the content creation experience.

Step 3: Review and configure each step

In addition to using Enhance with AI, you have the option to manually edit each step in the Flow. You can edit the Step description and purpose, and also configure each step of the Flow.

Here’s how you can view and edit flow steps after capture:

You can edit the Flow either at the Studio level during the creation or the Dashboard level after creation. For more information, see Edit a Flow.

Note:

You also have the option to Copy Flow Steps, Reselect Elements to manage UI changes, and define the Step completion rules in your Quick Capture Flows.


Step 4: Publish Quick Capture Flows

Use the following steps to publish a Quick Capture Flow:

  1. On the Whatfix Guidance dashboard, click Content.

  2. Click Flows.

  3. In the Draft stage, select the Flow and then click Send to Ready.

  4. Go to the Ready stage, select the Flow, and then click Publish. Publish quick capture Flows

Note:

For more information on publishing content and widgets, see Push all Whatfix content and widgets to Production. To display the Flow in Self Help or Task list, add it to the widgets, configure the widget segments for Visibility Rules, and then use Preview mode to view the Flows before publishing them.
