Create a Static Cohort (User list)

Whatfix enables you to upload a CSV file with a list of User IDs and create a Cohort for various use cases.

This article demonstrates the creation of a Cohort for team members in the Sales team.

Create a User list

Use the following steps to create a User list:

  1. On the Whatfix Analytics dashboard, click Audience.

  1. Click Create user list +.

  2. Enter a name for your User list. In this example, we’re uploading the list of users who are part of the Sales team.

  3. Click Download CSV template file to download a sample CSV file.

    The sample CSV file is downloaded to your local drive with the name user_list_template.csv and it appears as follows.

  4. In the CSV file, add a new row under the header, userID, and list the User IDs one below the other.

    • The User IDs in the CSV file must match the User IDs configured by Whatfix to identify the user uniquely on the application. For example, if you’re using Email IDs to uniquely identify users, the same email IDs must be included in the CSV file.

    • Ensure that you retain the header userId as it is.

  5. Save the file with a name of your choice. In this example, the file is saved as Sales.csv.

  6. On the Whatfix Analytics dashboard, drag and drop or choose your CSV file from the local drive to upload the User list.

    • If your file is uploaded successfully, it is denoted by a green checkmark.

    • If there are any errors in the file (such as the file not being in .csv format, the userId header being removed, or having more than one column), the file is not uploaded and Whatfix displays the following message. Resolve the errors and upload the file again.

    • Currently, there is no size limit for the CSV.

    • Click the Delete icon to remove the file.

  7. Click Save and continue.

    • The User list is added to the listing page.

    • View the number of users added to the User list in the User count column.

  8. Click the User list to view the list of users added.

    • Click Edit to add a description to the User list.

    • Enter a description to explain the purpose of the User list and then click Save.

Create a Cohort based on the User list

The created User list must be added to a Cohort before you can use it to target content or filter users. In this example, we’re creating a Cohort for the Sales team.

Use the following steps to create a Cohort based on the User list:

  1. On the Whatfix Analytics dashboard, click Audience.

  2. Click Cohorts.

  1. Click Create cohort.

  2. Click the Edit icon to name your Cohort.

    Provide a description that explains the purpose of the Cohort.

  3. To add conditions to build your Cohort, click Add rule.  

  4. Click Belong to user list.

  5. In the condition, select Belongs to or Does not belong to based on your use case.

    Description

    Belongs to

    Users who are part of the User list.

    Does not belong to

    Users who are not part of the User list.

    You may want to use the Does not belong to condition to analyze a list of users who engaged with any Whatfix content not part of the Sales team.

  6. Select the User list.

  7. Add other conditions to the Cohort as required.

  8. Scroll down to the Users in this cohort section, and then click Refresh to view the number of users in the Cohort.  

  9. Click Save cohort.

    This Cohort can be used as a filter in Insights or as a Visibility Rule.
