Schedule a Survey

Article Summary

To help you plan better user feedback collection, Whatfix enables you to schedule Surveys to appear for a specified time and set them up on a recurring setting.

Surveys can be scheduled by one or more of the following:

  • Start date
  • End date
  • Time zone
  • Number of occurrences over a period of time

Here are a few Example Use Cases.

Use the following steps to schedule a Survey:

  1. On the Whatfix Guidance dashboard, click Widgets.

  3. Hover your cursor over the required Survey, and then click the Edit icon.

You can schedule a Survey while creating a new Survey as well.

  1. Click Set Visibility Rules.

  2. Click the When tab.

  3. Use the Start On and End On fields to set the start date and the end date.

  4. Use the Select Time fields to set the start time and the end time.

  • The Survey appears only between the set time duration on the selected dates. For example, if you set the start time at 08:00 and the end time at 21:00, then for the selected dates, the Survey would appear between 08:00 and 21:00 every day until the end date.
  • When your end users click the Skip button, it is not considered as an interaction and the Survey will be displayed to them regardless of the occurrences you have set.
  • If you set an occurrence for a Survey and your end user views it, the limit of occurrences gets exhausted and the Survey will not be displayed to them. If you want the Survey to appear for them once again, you have to increase the occurrence limit.
  1. In the Time Zone field, select the time zone you want the Start On and End On settings to follow.

This converts the Start On and End On settings based on your local time zone, and the Survey is shown accordingly. If your end users are from different time zones, then click the Use Local Time checkbox.

  1. Under the Repeat section, select the frequency to show the Survey.

  2. Click Save or Edit Survey, depending on your preference.
    Save: Saves the Survey.
    Edit Survey: Takes you back to the Survey where you can make changes.

Example Use Cases

Display a Survey every time a user logs in - forever

Use the following steps, when configuring the Visibility Rule:

  1. Do not select Start On and Ends On date.

  2. Select the Time Zone you want the Start On and Ends On settings to follow.

  3. Under the Repeat section, select Until and enter a large number, for example, 99999.

Display a Survey every time a user logs in, but only for a particular time frame

Use the following steps, when configuring the Visibility Rule:

  1. Use the Start On and Ends On fields to set the start and end date for your Survey.

You can configure the Survey to be displayed within a specific time frame.

  1. Select the Time Zone you want the Start On and Ends On settings to follow.

  2. Under the Repeat section, select Until.

  3. Enter a large number, for example, 99999.

Display a Survey only the first time a user logs in

Use the following steps, when configuring the Visibility Rule:

  1. Use the Start On and End On fields to set the start and end date for your Survey.

  2. Select the Time Zone you want the Start On and End On settings to follow.

  3. Under the Repeat section, select Custom.

  4. Select Once Daily from the dropdown menu.

Display a Survey only on particular days of a week

Use the following steps, when configuring the Visibility Rule:

  1. Use the Start On and End On fields to set the start and end date for your Survey.

  • You can configure the Survey to be displayed within a specific time frame.
  • If you want to show Survey forever, do not select Start On and Ends On date.
  1. Select the Time Zone you want the Start On and End On settings to follow.

  2. Under the Repeat section, select Custom.

  3. Select Select Days from the dropdown.

Note

The Survey appears only once when using the Select Days option.

  1. Select the days you want to show the Survey and then click Done.

  2. Click Save.

Display a Survey only once a week

Use the following steps, when configuring the Visibility Rule:

  1. Use the Start On and End On fields to set the start and end date for your Survey.

You can configure the Survey to be displayed within a specific time frame.

  1. Select the Time Zone you want the Start On and End On settings to follow.

  2. Under the Repeat section, select Custom.

  3. Select Once a Week from the drop-down menu.

A new week starts from Sunday by default.

  1. Click Save.

Display a Survey only once a month

Use the following steps, when configuring the Visibility Rule:

  1. Use the Start On and End On fields to set the start and end date for your Survey.

  1. Select the Time Zone you want the Start On and End On settings to follow.

  3. Select Once a Month from the dropdown menu.
