Schedule a Trend Insight

Whatfix enables you to schedule a Trend Insight report, sent as an email to your stakeholders. You might want to schedule a Trend Insight report for one of the following reasons:

  • Share reports regularly with stakeholders for data-driven decision-making.

  • Share reports with stakeholders who are not part of the Whatfix Analytics dashboard.

  • Monitor updated account-level analytics data regularly without logging in to the Whatfix Analytics dashboard.

  • Identify trends and data patterns derived from historical data reports.

Here’s a sample Trend Insight report that is sent as an email.

Pre-requisites:

  • You need to whitelist the email domains of recipients to whom Insight reports need to be sent. Whatfix enables you to schedule reports only to recipients whose email domains are approved. To whitelist email domains, contact support@whatfix.com.

  • If you’re creating a new Trend Insight, Whatfix enables you to schedule the Insight only after saving it. Create and save a Trend Insight as usual and then follow the steps mentioned in the article.

Use the following steps to schedule a Trend Insight report:

  1. On the Whatfix Analytics dashboard, click Insights.

  1. Click the Trend Insight you want to schedule.

If you’re creating a new Trend Insight, Whatfix enables you to schedule the Insight only after saving it. Create and save a Trend Insight as usual and then follow the steps mentioned in the article.

  1. Click Schedule.

  2. In the Schedule drawer, click Create schedule.

  3. Enter a name for the reporting schedule.

  4. Enter the email IDs of the recipients, and then click Add or press the Enter key on your keyboard. Use a comma to separate the email IDs.

If the email domain is not approved or whitelisted, Whatfix shows an error message. Contact support@whatfix.com to whitelist the domain.

  1. Schedule the reports using any one of the following conditions:

Condition

Description

Every Day

This condition sends the Trend Insight report every day.

Every Week

This condition sends the Trend Insight report weekly on the days you choose.

Every Month

This condition sends the Trend Insight report monthly on chosen days or dates, such as the first Monday of every month, or the 15th of every month.

Custom

This condition sends you the Trend Insight report based on your custom schedule.

Whatfix enables you to schedule a report for up to one year from the creation date of the Schedule. For example, if you’re creating the Schedule on August 1, 2024, it ends on August 1, 2025.

Schedule Daily reports

This condition sends the Trend Insight report every day.

Repeats: Every Day

Delivery time slot: Set the time slot during which the report must be sent.

Timezone: Set a timezone in which the report must be sent. This timezone is independent of the timezone set for the Whatfix Analytics dashboard.

Ends on: Set the date on which the reporting schedule should end.

Example

In the above image, the schedule is set up in the following way:

The report is scheduled to be sent every day between 4 and 5 p.m., until June 30, 2025, in the Central European Time - Madrid timezone.

Schedule Weekly reports

This condition sends the Trend Insight report weekly on the days you choose.

Repeats: Every Week

Delivers on: Set the days of the week on which the report must be sent.

Delivery time slot: Set the time slot during which the report must be sent.

Timezone: Set a timezone in which the report must be sent. This timezone is independent of the timezone set for the Whatfix Analytics dashboard.

Ends on: Set the date on which the reporting schedule should end.

Example

In the above image, the schedule is set up in the following way:

The report is scheduled to be sent on Wednesdays and Fridays every week between 10 and 11 a.m., until August 16, 2025, in the Indian Standard Time - Kolkata timezone.

Schedule Monthly reports

This condition sends the Trend Insight report monthly on chosen days or dates, such as the first Monday of every month, or the 15th of every month.

Repeats: Every Month

Delivers on: Set the days of the month or the dates on which the report must be sent.

If you want to select particular dates on which the report must be sent, the dropdown only shows dates up to the 28th of a month. If you want to schedule the report to be sent on the last day of the month, select the Last Day of Month option.

Timezone: Set a timezone in which the report must be sent. This timezone is independent of the timezone set for the Whatfix Analytics dashboard.

Ends on: Set the date on which the reporting schedule should end.

Example:

In the above image, the schedule is set up in the following way:

The report is scheduled to be sent on the second Wednesday of every month between 11 a.m. and 12 p.m., until January 1, 2025, in the Eastern Australian - Melbourne timezone.

Schedule Custom reports

This condition sends you the Trend Insight report based on your custom schedule.

Repeat every: Set the custom schedule on which the report is to be sent.

Example 1: If you choose to repeat every 2 Days, then the report is sent once every 2 days.

Example 2: If you choose to repeat every 2 Weeks on Wednesdays, then the report is sent once every Wednesday biweekly.

Example 3: If you choose to repeat every 3 months on the 15th, then the report is sent every quarter on the 15th.

Ends on: Set the date on which the reporting schedule should end.

In the above image, the schedule is set up in the following way:

The report is scheduled to be sent once every 3 months on the 1st, between 9 and 10 a.m., until August 15, 2025, in the Indian Standard Time - Kolkata timezone.

  1. Click Save schedule.

  • Once the Schedule is saved, it is made active by default and denoted by the Active label. The reports are sent from the time the Schedule becomes active.

  • If the Schedule expires as per the Ends on date in this condition, it is denoted by the Expired label. Edit the Ends on date in the Schedule to a future date, and then resume the Schedule.   1. Click + Create and follow steps 5 to 8 to set up a different Schedule for the same report for different stakeholders.

  • A single Trend Insight report can have multiple Schedules.

  • Whatfix sends you an email with the title of the Insight. It includes a screenshot of the Insight along with the frequency of the report.

  • If you have access to the Whatfix Analytics dashboard, click View Insight to view the Trend Insight on the dashboard.

If the Chart type in the Trend Insight you’ve scheduled is set to Table or Metrics, by default, the email that contains the screenshot of the Insight shows a Line chart and not a Table or Metrics chart. This is only applicable for Tables and Metrics and not other chart types. For more information on the different chart types, see Understand Trend Insights.
