How does Whatfix display multiple Task List segments on the same page?

Since both Task Lists are configured to appear on the same page, Whatfix follows a set of rules to determine which Task List segment is shown to end users.

Here's how Whatfix prioritizes Task Lists:

  • Number of Visibility Rules configured: Whatfix prioritizes the Task List segment that has a higher number of Visibility Rules configured and displays the Task List segment first.
    For example:

    • Task List 1 has 3 Visibility Rules configured, and
    • Task List 2 has 4 Visibility Rules configured.

    User 1, a regular CRM user, matches only Task List 1 and sees Task List 1.
    User 2, a sales manager, matches both Task Lists. Task List 2 is shown first because it has more rules. Once Task List 2 is completed, Task List 1 is evaluated and displayed if conditions are valid.

  • Most recent modification: If two Task List segments have the same number of Visibility Rules configured, Whatfix displays the segment that you modified most recently.
    For example, if both Task List 1 and Task List 2 have 3 Visibility Rules each, and Task List 2 is modified after Task List 1, then Task List 2 appears first.

    • User 1 sees Task List 1.
    • User 2 sees Task List 2 first because it is updated more recently, and then Task List 1 is displayed if conditions are still valid.
  • Task Progress enabled: Whatfix also prioritizes Task List segments that have Task Progress enabled.

When does a Task List segment stop displaying?

A Task List segment stops displaying in the following scenarios:

  • When an end user completes all tasks in the Task List segment, the next highest priority Task List is shown. This enables you to display the Task List segments sequentially to your end users.
  • When the configured start date and end date conditions are met, the segment stops appearing.
  • When the Task List is removed from production, it no longer appears for end users.
