Create Role or Page based Tags

Role Tags

Whatfix enables you to segment content based on the user role that is defined when the system is set up to provide contextual guidance to your end users. Some common examples of user roles are as follows:

  • Administrator
  • Manager
  • Translator
  • Editor

Based on the role assigned to an end user in the application, Whatfix enables them to interact with content relevant to their role.

Before you begin using Tags, they need to be configured. This can be done by setting up unique identifiers for the Tags. These identifiers can include CSS/jQuery Selectors, or Window Variables. For example, in the previous scenario, create Role Tags by associating them with Window Variables that are unique to each kind of department user. Page Tags

Whatfix enables you to determine the visibility of widgets over a specific page(s) on the application using Page Tags. Ensure that your Whatfix widgets (Pop-ups, Self Help, Launcher, Task List, etc.) show up on the right page and appear automatically when the user lands on the page, add relevant Page Tags in the Visibility Rules section of your widget. Whatfix also enables you to select Auto Tags as Page Tags.

Use Cases

Organize content using Tags

Organizing content can be used in multiple scenarios:

  • Organize content based on categories, pages, projects, differentiate between live and draft content, and more.
  • Differentiate Flows created for October and January release or UAT and Production by creating and associating respective Tags to the content.

Whatfix enables you to associate multiple Tags to content.

Use the following steps to tag content:

  1. On the Whatfix dashboard, select the content using the checkbox for which you want to add tags.

  2. Click the Tags icon.

  1. In the popup, type the name of the tag and select from the list.

If the tag does not exist, type in the name of the tag and hit the Enter key to create a new tag.

  1. Click Done.

After associating the Tag to the content, use the Filter option on the Dashboard to list content based on Tags. See, How can I find the content in Whatfix Dashboard?

Add content to Widgets using Tags

Add content to Self Help or Task List using Tags if you have associated the respective content with Tags.

Use the following steps to add content to Self Help or Task List using Tags:

  1. In the content adding screen, click Add Content.

  2. Click Select By Tags.

  3. Click the Plus icon.

  4. Select the tag from the dropdown.

  5. Click Okay.

Note

The content associated with the selected tag gets populated.

  • If you want to show content that has multiple tags associated to it then use the AND operator and select the tags.
  • If you want to show content that has at least any one of the respective tags then use the OR operator and select the tags.

Group Visibility Rules using Tags

If you use the same set of Visibility Rules repeatedly in Widgets then use Tags to group them. This way Whatfix enables you to refer the Visibility Rules instead of defining them from scratch.

Use the following steps to group Visibility Rules:

  1. On the Whatfix Guidance dashboard, click Tags.

  2. Click All tags.

  1. On the top right, click Create Tag.

  2. Enter a name and description for the tag.

The maximum character limit for a Tag title is 75 characters.

  1. Click the Category drop-down and then select Page Tag or Role Tag depending on the type of Visibility Rules you're trying to group.

  2. Under Visibility Rules, enter the Visibility Rules you want to group.

  3. Click Create.

  4. Once done, directly use these Visibility Rules in Widgets using Tags as shown in the following image.
