Description

Account Manager (role)

The Account Manager has permission to perform all tasks in Whatfix. There are 3 other roles on the platform.

Note:

Only users with Account Manager and Content Manager roles can access and view the Whatfix Mirror Dashboard.

Analytics

Analytics in Whatfix Mirror provides insights into how learners engage with and perform in Mirror Workflows, Assessments, and Roleplays. The in-built Mirror Analytics on the Mirror Dashboard helps you track participation, measure training effectiveness, and identify areas where learners need additional support.

Assessment

An Assessment is a guidance-free Simulation in Mirror used to evaluate how well users complete tasks. It tracks attempts, completion status, pass or fail outcomes, and other performance data to validate proficiency in real scenarios.

Auto Flow Creation

Auto Flow Creation is a Mirror feature that uses generative AI to create Flows from captured Workflows. It pre-fills tooltips based on screen context, helping you accelerate guidance creation with less manual effort.

Avatar

An AI-driven virtual character that simulates a real-world participant in a Roleplay. The Avatar adopts specific personas, traits, and behaviors defined to interact with your learners and create realistic, scenario-based training experiences.

Avatar instructions

Define how the Avatar behaves and responds during a Roleplay. The Copilot generates these instructions automatically based on the Learner Brief and scenario context.

Description

Content

Whatfix content refers to in-app guidance that is created on the Whatfix Guidance Dashboard and displayed to end users using widgets.

Content deployment

The Content deployment section on the Whatfix Guidance dashboard enables you to publish Whatfix content to end users. This includes Map Stages or Manage Extensions based on the chosen deployment method.

Content Manager (role)

The Content Manager is a user role on Whatfix that has more permissions than the Editor role. There are 3 other roles on the platform.

Copilot

An AI-powered assistant that guides you through creating and refining Roleplays. It analyzes the Learner Brief and scenario context to generate Avatar instructions and improve Roleplay accuracy.

Cut-off score

The Cut-off score defines the minimum score a learner must achieve to pass a Roleplay or mission.

Description

DAP

A Digital Adoption Platform (DAP) enables an efficient digital transformation journey by improving the adoption of enterprise applications. DAPs are deployed as an overlay on the application to support the creation of in-app interactive and contextual Flows. This enables users to go through the software with ease, thus reducing the need for repeated training.

Dashboards

Dashboards are a Product Analytics reporting feature that enables you to visualize your insights. They provide information at a glance that enables you to make data-driven decisions.

Disable

Use Disable to turn off Playground Mode. When you disable Playground Mode, the links between Workflows in the Simulation disconnect, and each Workflow runs independently.

Document Object Model (DOM)

A structured representation of a web page that defines the web page’s elements, content, and styling in a format browsers can interpret and render.

Duplicate

Duplicate is a functionality in the Whatfix Mirror Dashboard that enables you to create an exact copy of an existing Mirror Workflow or Simulation.

Term

Description

Editor (role)

The Editor role is used to create content on the Whatfix Guidance Dashboard and has the fewest permissions. Users with the Editor role can only create or edit their own content. There are 3 other roles on the platform.

Email-Based Authentication

An end-user authentication mechanism in Whatfix Mirror that restricts access to shared Mirror simulations using OTP verification. Only learners whose email domains match the approved domain whitelist can access the shared Mirror simulation.

End conditions

Rules that determine when a Roleplay session should conclude. End conditions ensure the conversation ends naturally when specific criteria are met, such as time limits, repeated questions, or completion of learner objectives.

Events

Events are triggered when your end users perform any action on the Whatfix content, widgets, or created Mirrors.

Event Breakdown

Event breakdowns enable you to group and visualize the filtered events by a specific event property, such as Segment Name or Content Title.

Event Filters

Event filters enables you to narrow down events based on event properties, such as Segment Name or Content Title.

Event grouping

Event grouping enables you to group two or more Default or Custom events into a single grouped event to analyze diverse metrics.

Event Trigger Location

Event Trigger Location enables you to select the location from where a Flow is played.

Export option (or Self Hosted model) of Deployment

In the option, content is created using the Whatfix platform, exported as a package, and self-hosted by your organization on your own internal server.

Extensions

Extensions are browser plugins that add additional capability to your web browser and can be used to customize your browsing experience. There are two Whatfix extensions:

  • Use the Studio extension to create content.

  • Use the Content Delivery extension (deployed to application end users) when you cannot embed the JavaScript in your application to enable content delivery. Use the content delivery extension only for certain deployments based on the nature of the software application.

Flows are a sequence of step-by-step instructions that users are led through in their application to complete a task.

Funnels are a series of sequential events that enable you to analyze and understand how your end users perform an application process. What are Funnels?

Go Live

Go Live is the time at which Whatfix content and widgets become available for customer end-users.

Guidance Analytics

Guidance Analytics enables you to understand end-user engagement with Whatfix content and widgets.

Guidance Content

In-app content such as Flows, Smart Tips, Beacons, and Pop-ups that guide users through tasks.

Description

Language Variant

A localized version of a Mirror Workflow where Whatfix Studio re-captures Mirror Screens in a selected language. The Workflow retains the same structure, screen sequence, and lifecycle stage as the default language variant.

Learner brief

Defines the scenario, objectives, and expectations for a Roleplay. It helps learners understand their role and guides the Copilot in generating relevant Avatar instructions.

LMS


A Learning Management System (LMS) is a software that is designed specifically to create, distribute, and manage the delivery of educational content. You can use LMSs to train your employees, onboard new hires, retain employee knowledge, and train partners & customers remotely. An LMS enables you to:

Create: Build online lessons (or e-Learning content, as it’s referred to in the industry). You can take individual lessons and turn them into courses.

Deliver: Assign, offer, or sell these courses to employees, partners, customers, or a wider audience.

Monitor: Enroll and manage your training audience. You can also track and assess their performance.

Description

Mirror

Whatfix Mirror is an application simulation software that provides an immersive and interactive simulation of any web application.

Mirrored application

A mirrored application simulates a web application and results from the mirroring process. The mirrored application serves as the Mirror of the web application.

Mirroring

Mirroring is a functionality that enables users to clone an application’s web page by capturing the entire user interface (UI).

Mirror Screen

A replica of a single UI element which represents an interactive element in the web application.

Mirror link

A Mirror link redirect users to different Mirror pages. Links are automatically created between Mirror screens while they are being captured. Mirror also enables you to manually link Mirror screens.

Mirror Workflow

A sequence of simulated screens that guides users through a task or process.

Module

A training unit within a Series that delivers an interactive Roleplay focused on a specific scenario. Each Module represents a single learning experience that contributes to the overall objective of the Series.

Multi-Format Output

This output enables Whatfix content to be rendered in various formats, including PDFs, videos, slideshows, and articles.

Description

On-Premise Deployment

An environment where all operations run within your organization’s infrastructure and private servers manage content creation, storage, and data access.

Term

Description

Page Title

A Page Title is a short description of a webpage that appears at the top of the browser window.

Page View

Page View enables you to add the exact URL of a page to understand how many users are visiting the page.

Pass criteria

Defines how many Workflows a learner must complete to pass an Assessment. You can choose to require learners to complete all Workflows or only a specific number of Workflows in the Assessment to demonstrate proficiency.

Pause

Pause is a feature that enables you to stop the Mirroring process temporarily so you correct actions before you continue.

Play

Play is a feature that enables you to start the Mirroring process exactly where you stopped.

Playground Mode

A functionality within a Mirror Simulation that automatically links workflows within the simulated environment.

Note:

By default, Whatfix automatically enables Playground Mode when you add Workflows to a Simulation.

Pop-up

A widget that enables you to display notifications to users in your application.

Preview Mode

Whatfix enables you to preview Whatfix content and widgets before publishing them using the Preview Mode option on your Whatfix Studio.

Product line switcher

The product line switcher enables you to switch between the Whatfix Guidance and Analytics dashboards.

Publish

The action of making a Mirror or Whatfix content or widgets accessible to users so they can interact with a simulated experience or in-application guidance, without granting direct access to the underlying application.

Note:

This is applicable only to Whatfix customers who use the JavaScript embed deployment.

Description

Rich Text Editor

The Rich Text Editor feature enables you to format content using multiple options and link multimedia content to them.

Roleplay

An AI-driven simulation that enables your learners to practice real-world conversations and workflows with an AI Avatar in a safe, interactive environment.

Roleplay Admin Dashboard

A workspace used to create, configure, and manage Roleplays before attaching them to a Mirror Workflow. It enables you to define the Learner brief, generate Avatar instructions, set End conditions, and establish Evaluation parameters for each Roleplay.

Description

Salesforce Objects

These are Salesforce properties that enable Whatfix to serve relevant content to Salesforce users based on existing Salesforce properties that help identify different users.

SCORM (Sharable Content Object Reference Model)

SCORM (Sharable Content Object Reference Model) is a set of technical standards that ensures e-learning content works properly with learning management systems (LMS) by defining how courses are packaged, launched, and tracked.

The See Live feature enables you to preview specific content on your application.

Series

A collection of Modules grouped under a common learning area or objective. For example, a Customer Support Series may include multiple Modules covering different scenarios such as handling escalations, managing feedback, and resolving billing issues.

Session

User Journey is captured based on sessions. A session usually starts when a user accesses the site and ends when the user leaves or is inactive for more than 30 minutes. After 30 minutes of inactivity, a user is considered to have dropped off.

Simulation

A Simulation combines related Workflows into an interactive experience. In Playground Mode, these Workflows connect by default for seamless navigation.

Smart Edits

Smart Edits is an AI-powered capability that analyzes captured Mirror Screens and identifies content that might contain sensitive information, such as Personally Identifiable Information (PII) . Suggestions can include text and image edits, such as updating UI labels, modifying text, or redacting images to censor sensitive data. For example, if a captured Mirror Screen contains an email address or a chart with financial data, Smart Edits highlights the relevant elements and suggests edits to redact or replace them before you share the Workflow with learners.

SSO (Single Sign-On)

Single Sign-on (SSO) is an authentication method that enables users to securely authenticate with two different applications and websites by using just one set of login credentials that is common for both. This eliminates the need to remember the login details of two different applications. SSO minimizes the support tickets received by companies regarding forgotten password or account unlock requests by end users.

Step Completion Rule

Step Completion Rules in a Flow enables you to define when Whatfix must stop displaying one step and then show the next step of the Flow.

Task List

The Task List is a widget that gives you the ability to assign a list of topics or tasks that users must complete as part of a training program.

Total Events

Total Events measures the total number of times an event is performed on your product or application.

Trend Insights

Trend Insights turns your engagement-related queries, such as the number of users who have completed Flows and the number of users who have clicked the button on your Pop-up, into actionable insights.

Description

Unique Users

Unique Users measures the total number of distinct users that performed the event in your product or application.

User Breakdown

Use the User Breakdown module to display data based on the various properties. For example, for the Flow completed event with the User filter set as Chrome browser, configuring the Breakdown as City, displays the chart based on all the cities from which the Flow was completed by users using Chrome browser.

User Filter

User filters enable you to narrow down the data shown by applying conditions based on user properties, such as browser, operating system, city, or country. For the Flow start event, refine results to display data only for users who started the Flow from the Chrome browser or from a specific location.

User Journey

User Journey enables you to automatically analyze how an end user navigates through an application using User Actions and enables you to understand the different paths they take to complete a task.

Whatfix Analytics is a Product Analytics platform that enables you to analyze end-user behavior on the application.

Whatfix Cloud Server

The Cloud Server was initially used to host all content created on the Whatfix platform. Most customers have transitioned to hosting content on CDN servers to enable a better and faster customer experience.

Whatfix Guidance Dashboard

The Whatfix Guidance Dashboard is where you can perform the following actions:

  • Access all content that has been created by users in your organization.

  • Access and manage content widgets, such as Self Help, Pop-ups, Smart tips, Beacons, and Task List

  • Manage users

  • Manage tags

  • Access analytics

  • Manage translations

  • Manage Tip or Flow configurations

Whatfix Mirror Dashboard

The Whatfix Mirror Dashboard is a centralized workspace to manage and view captured Workflows, create Simulations, add Assessments, and share them with your end users.
